Prepare for event photography
A good event gallery starts with a short brief. This guide lists what to send and what to confirm with the venue.
Short answer
Send the date, the venue, the start and end times, the program, the key people and a short shot list. Confirm load-in, photo rules and parking with the venue. Two hours of coverage is $500, and extra hours are $250. Delivery takes 2 to 3 weeks.
What to send me
Send the date, the venue and its address, the start and end times, the program and the dress code. Add the names of the key people, such as the host, the speakers and any guest of honor. Add a short shot list. Eight items is plenty.
Name a contact at the venue and a contact for the day. If the event is private, say so, so I handle the images with care.
What to confirm with the venue
Ask the venue three things: when can the photographer arrive, are there rules for photography and where can the photographer park. Ask whether the room has a quiet corner for a few portraits. Ask about the lighting during the program, since a dim room changes how I plan.
The day of the event
I arrive early to see the room and find the light. I follow your program and the people on your list, and I photograph the room, the details and the guests. If the plan changes, tell me. A group photo works best at the start of the event, before guests leave.
After the event
Rush 24-hour delivery adds $100. A print release comes with every session, so you can use the images in reports, on your site and on social media.
Questions
Frequently asked questions
How much does event photography cost?
Two hours of coverage is $500, up to 6 hours is $1,000 and up to 12 hours is $1,800. Extra hours are $250. Prices are before NC sales tax. Travel within 10 miles of Apex is included.
What should I put in a shot list?
List the venue and signage, the host or speaker, a group photo, the key people with one portrait each, details such as food and decor, candid guest moments and any awards or toasts. Name the key people and send the list a few days ahead.
How many hours should I book?
Count from the first guest to the last moment you want on record, and add a short buffer if there is a program. Two hours suits a reception or a launch. A conference or festival day usually needs half a day or a full day.
When will I get the photos?
Event coverage is delivered in 2 to 3 weeks in a private online gallery, per the price list. Rush 24-hour delivery adds $100. Tell me your deadline when you book and I confirm the window in writing.
